Job Title: Office Receptionist and Executive Assistant
Full-time
Job Description:
  • Answer incoming calls: and courteously routed to proper staff, voice mail or message taken
  • Check-in visitors to the office
  • Develop and Maintain relationship with visiting customers
  • Support on-site internal and client meetings in conference rooms. Provide support to conference rooms such as ensuring rooms such as ensuring rooms are appropriately outfitted, managing schedule conflicts, ensuring A/V equipment is functioning properly, and setup refreshment
  • Works closely and supportive executive staff and managers on a variety of office support tasks
  • Supports Accounting with filing, misc tasks
  • Coordinates travel arrangements and manage expense reports
  • Set-up office/workstation space for new hires
  • Maintain office supplies inventories
  • Distribute mail, send and receive Fed EX and UPS packages
  • Manage and support the Sales teal ad offsite conference, register and setup shows and conferences, attend events as a support staff and helps with marketing efforts
  • Support the sales team's proposal development and on time delivery
  • Work with staff to post events and accomplishments on social media
Qualifications:
  • Must be a US Citizen
  • Must have excellent organizational skills and ability to work on multiple projects simultaneously
  • Must work effectively in a fast-paced environment with fluctuation priorities and deadlines
  • Must have excellent written and verbal communications skills
  • Confidence and an outgoing personality
  • Previous experience in an office and customer service environment
  • Works well with others
  • Travel will be required
  • Microsoft knowledge and presentation skills (Word, Excel, PowerPoint)
  • HS diploma required; Working towards a Bachelor's Degree or has a Bachelor’s Degree preferred
