Job Description: 
  • The Academy of Interactive Entertainment (AIE), a post-secondary non-profit organization, is a leading specialist educator in Video Game Development in the fields of Programming, 3D animation, and VFX
  • Established in Australia in 1996, AIE trains students for employment and career opportunities through the provision of world class education as well as acting as a catalyst to build these industries
  • AIE is seeking a Student Services Coordinator to join our team. The Student Services Coordinator is a self-starting, energetic, and outgoing person who is able to work alone and in a team environment. This position includes constant and involved direct contact with our adult aged students
  • This is a full-time permanent position with a 3-month probation period. Salary is negotiable, and the position is available immediately
  • The overarching duty of the Student Services Coordinator is to facilitate a positive and engaged campus experience for our enrolled students. This involves tracking their attendance and performance in class, assisting them with needs outside of class or school when possible, and creating events/activities that have an uplifting community effect. The SSC is a primary administrative face for the AIE campus
  • Key responsibilities include:
  • Serve as primary administrative contact for, currently, 150 students
  • Manage enrollment intake at the end of the admissions process
  • Engage in pastoral care with students to keep tabs on their student experience
  • Maintain all student records and other files in accordance with accreditation, state, and federal requirements
  • Track student attendance and reports using the Freedom database software
  • Prepare and track the school calendar
  • Input student course assessments into the database
  • Coordinate and staff monthly in-house school events to bolster student engagement and school spirit
  • Maintain a current database of alumni in coordination with other staff
  • General administrative roles: primary reception, mail, office supplies, agendas, assistance to the Head of School
Qualifications:
  • Highly organized, efficient, and task-oriented
  • Able to connect warmly and authentically with college age students
  • Case management experience would be a strong asset
  • Comfort with an array of software, including the Microsoft Office suite and especially the Freedom database, among others. Database experience is an important factor
  • Quick learner able to find and research answers
  • Flexible, team oriented approach to working with a small and nimble administrative staff
  • Excellent written and spoken English, with strong, natural phone/E-mail etiquette
  • Experience with reception and serving as the first point on contact for an organization
